How Busy Parents Can Keep Track of School Deadlines

Parents managing school-age children juggle a volume of dates that would overwhelm almost any memory system: permission slips, non-uniform days, parents' evenings, half-terms, exam dates, club sign-up deadlines — often multiplied across more than one child, each on their own school's separate calendar.
The core problem is volume, not difficulty None of these dates are individually hard to remember. The challenge is that there are simply too many of them arriving from too many sources — paper letters sent home in bags, emails from the school, messages in a parents' WhatsApp group — for any single memory to reliably track them all at once.

A single same-day reminder is often too late to act on.
Create a recurring reminder for predictable school-year patterns Term dates, half-terms, and inset days are usually published for the entire year in advance. Rather than trying to remember them individually, enter the whole year's calendar into recurring reminders in one sitting at the start of the school year — a single twenty-minute task that pays off for months.
Separate each child if you have more than one Combining multiple children's schedules into a single unlabelled list makes it easy to confuse whose deadline is whose. Label reminders clearly by child and school, especially if they attend different institutions with different calendars.
Involve older children in their own reminders For older kids, teaching them to check and manage their own deadlines — coursework due dates, club sign-ups — is both a practical time-saver for parents and a genuinely useful life skill that transfers well beyond school.
The families who handle school admin with the least stress usually aren't the most naturally organised — they're the ones who've built a habit of capturing dates the instant they appear, rather than trying to hold the whole school year in their heads at once.
